Job Summary

The Medical Records Specialist is responsible for receiving, researching, and responding to all medical records requests and subpoenas in compliance with the Health Insurance Portability and Accountability Act of 1996 ("HIPAA"). Responsible for the confidentiality of patients’ Protected Health Information (“PHI”).

Essential Functions and Responsibilities include the following:

  • Maintain workflows/department reports/e-mails by reviewing and completing medical records requests and/or subpoenas from various requestors; Index all incoming and outgoing records and subpoena requests in document imaging system; Prepare Custodial of Records certifications and affidavits of medical records, if necessary
  • Maintain and manage the Assignment Of Benefits workflow by entering required data into billing database and indexing to appropriate accounts
  • Compile records for production by Legal Department
  • Amend medical records as needed
  • Maintain telephonic communications and appropriate follow-ups with records requestors
  • Assist in remedial training and cross-functional efforts
  • Other duties as assigned

Education & Experience

  • High school diploma or general education degree (GED); and one to two years’ related experience and/or training; or equivalent combination of education and experience
  • 2-3 years of medical records work experience, specifically management and record requests; required
  • Knowledge of medical and billing terminology; required
  • Knowledge of federal and state rules and regulations regarding HIPAA; required
